Declaring Swimmers

Please declare your swimmer for every meet, whether they plan to attend or not. This helps coaches prepare accurate meet entries and relay lineups.

Important: Swimmers who are not declared by Tuesday night may not be eligible to be added to the meet later in the week. Once entries are submitted to the host team, coaches cannot make changes to swimmer events.

If your swimmer is marked as attending, the team is counting on them to participate in all assigned individual and relay events. Event changes or withdrawals should only occur due to illness or emergencies. If your swimmer cannot attend after declaring, please notify a coach as soon as possible before the meet begins.

After event assignments are posted, families may indicate which events their swimmer would be interested in swimming.

How to Declare Your Swimmer

1. Log in to your SwimTopia account.
2. Click the Meet Entry tab.
3. Select Edit under your swimmer’s name.
4. Choose one of the following:
5. Attending
6. Not Attending
7. Undeclared
8. If event selection is available, choose the events your swimmer would like to swim. If coach approval is required, please obtain approval before selecting events.
9. Indicate relay availability, if applicable.
10. Click Save to submit your selections.

How to Register for Jobs and Swims at a Meet:

Under the Meets & Events tab, select "Signup Calendar" to sign up for a swim meet.

Job Signup

• Click the green JOB SIGNUP tab and sign up for volunteer shifts (note one parent may sign up both parents for jobs -- scroll down and you’ll see the other parent listed). If you know you and your spouse will not be at this meet, skip to Swimmer Signup.
• Click Save Assignments.
• Click Back to Signup Calendar.
