Volunteer Job Descriptions

Our swim team relies on volunteers to help meets and team activities run smoothly. There are opportunities for every interest and schedule.

Meet Operations

Help keep swim meets organized and on schedule.

  • Announcer – Makes race and event announcements.
  • Clerk of Course(Certified) – Organizes swimmers into heats and lanes.
  • Heating – Lines swimmers up for their races.
  • Runner – Delivers race cards and paperwork around the pool deck.
  • Timer – Uses a stopwatch to record swimmers' times.
  • Scribe(Certified) – Records race information and times.
  • Scoring(Certified) – Enters results and tracks meet scores.
  • Starter(Certified) – Starts each race.
  • Stroke & Turn Judge(Certified) – Ensures swimmers follow competition rules.
  • Deck Referee / Meet Referee(Certified) – Oversees meet operations and officiating.

Team Support

Help behind the scenes to support swimmers, families, and coaches.

  • Volunteer Coordinator – Schedules and manages volunteers.
  • Communications Coordinator – Shares team news, schedules, and updates.
  • Coaching Liaison – Helps connect coaches, swimmers, and families.
  • Parent Representative – Supports communication between parents and team leadership.
  • Treasurer – Manages team finances.
  • Apparel Coordinator – Organizes team suits and spirit wear.
  • Sponsorship Coordinator – Secures community sponsorships and donations.

Concessions

Help provide food, drinks, and support during meets.

  • Concessions Coordinator – Oversees concession operations.
  • Concessions Worker – Sells snacks and drinks.
  • BBQ Grill Specialist – Prepares grilled food at home meets.
  • Concessions Runner – Picks up food, ice, and supplies before meets.

Events & Team Spirit

Help build a fun and welcoming team community.

  • Social Committee – Assists with social events and activities.
  • Photographer – Captures team and meet photos.

Meet Setup & Cleanup

  • Meet Setup/Take Down – Helps set up equipment before meets and clean up afterward.

Certification Information

Some positions require MHSL certification and brief training. Certified roles are marked above.

Volunteer Commitment

Most meet-day roles can be completed during a half-day or full-day shift. Training is provided for many positions, making them a great way to support the team and get involved..
